1 Purpose of the document

 

This document provides information about how the Choose and Book application controls access to functionality within the application, so that sponsors involved in the Registration Process can set up different users e.g. GPs, Consultants and medical secretaries, with the appropriate access rights.

 

This document is written for sponsors who have undergone appropriate training.

 

The document also suggests suitable access to Choose and Book for staff working in Trusts.

 

Please note that this document is aimed at registration of users who will be accessing Choose and Book.

2 Overview of Registration

 

In order to use the Choose and Book application, users need to be set up appropriately in the National Care Records Service via the Registration Process.

 

A key element of the Registration Process is to create one or more role profiles for a user, each of which consists of:

 

  • An organisation (required) – e.g. The Whittington Hospital NHS Trust
  • An NHS Job Role (required) – e.g. Consultant
  • Area of Work (optional) – e.g. Primary Care
  • Zero or more Activities (optional)  

 

Access to functionality within the Choose and Book application is controlled by the Activities and organisation type only, which are allocated to the user’s role profile during the user Registration Process. Note that if the user wishes to access Choose and Book, then the user’s role profile(s) must contain at least one Choose and Book activity– e.g. Manage Service Referrals and Bookings

 

A user can have many role profiles, but only one can be used at a time. It is important the Sponsors select the appropriate job role and activities from those available. The temporary EBS job roles should no longer be selected for new registrations (see section 4).

 

The appropriate role profile and Activities are selected by the user as they log onto the Choose and Book application:

2.1 Activities in Choose and Book

The Activities available in Choose and Book are:

 

· B1101 – Manage Outbound Referrals

· B1102 – Proxy Manage Outbound Referrals

· B1103 – Manage Outbound Appointments

· B1104 – Perform Clinical CAB Appointments Line

· B1105 – Perform CAB Appointments Line

· B1106 – Maintain Commissioned Services

· B1107 – Maintain Service Configurations and Workgroups

· B1108 – Maintain Service Selection Guidance

· B1110 – Manage Inbound Referrals

· B1115 – Proxy Manage Inbound Referrals

· B1120 – Manage Inbound Appointments

· B1130 – Perform Information Analysis

· B1140 – Manage Indirect Appointments

· B1145 – Manage Additional Requirements

 

As part of the RBAC Rationalisation work, many of the above activities have been deprecated in the National Role Database (NRD). However, for the foreseeable future the Choose and Book application still works with these Activities and indeed will not work with the new rationalised Activities.

 

Users that need access to Choose and Book must be registered with the above activities in addition to any rationalised activities that they may need for other applications.

2.2 RBAC Activity Names

All Business Functions/ Activities” are detailed within the National RBAC Database (see reference [2]), in the “Activities” worksheet.

 

Although the descriptions for Business Function/ Activity were updated in V18 of the National RBAC Database, the underlying alphanumeric code for the Business Function/ Activity name has not changed, and all Choose and Book users will continue to see the original Business Function name during the Choose and Book logon process. Details of the mappings between the original and current descriptions for Business Function/ Activity can be found in section 5 of this document.

 

1.3 Allocating Activity Codes

 

Each Activity provides access to different functionality. The Sponsor will also need to identify the appropriate Activity/ Activities required to complete the user’s configuration. This can only be done with some knowledge of which elements of Choose and Book functionality are provided within which Activity. These are detailed in the table in section 5. For example “Initiate Patient Referral” permits the user to create a Referral Letter, whereas “Manage Appointment Bookings” can neither create nor see Referral Letters in the system (as a Manage Appointment Bookings user, it is inappropriate to see sensitive clinical information).

 

 

It is presumed that the Sponsor is familiar with the document ‘User Registration - Sponsor Briefing NPFIT-FNT-IMD-IME-0184.02’ or later.
